ABOUT THE ROLE
To provide comprehensive administrative and organisational support to the Commercial Estates team, which is comprised of General Practise surveyors who manage the council’s commercial estate.
The post holder will proactively manage team workflows and trackers, support the surveyors with the forward planning of estate management functions (eg: rent reviews, lease renewals, and lease transactions), and play a critical role in the introduction and use of new estate management software. This role also includes Project Management Office (PMO) support, policy writing assistance, and administrative support to the Head of Estates and the Commercial Estates team.
ABOUT YOU
The successful candidate will have:
- 5 GCSEs (Grades 9-4 A*-C) including English and Maths
- 2 A Levels or equivalent Level 3 qualification
- Proven experience supporting a busy professional team, ideally in a property, legal, or project-based environment.
- Excellent organisational and multitasking skills, with a methodical and proactive approach to planning.
- High level of computer literacy skills and working knowledge of Outlook, Microsoft Word, Teams, Excel, PowerPoint and the use of databases
- Proven ability to conceptualise issues, develop options, ability to support the writing and presenting of reports to a high standard
- Proven ability to support managing complex projects to achieve objectives within a demanding and pressured environment against challenging deadlines
- Strong analytical and judgment skills with the ability to analyse and evaluate data from various sources to support the Commercial Estates team in presenting data accurately
- Excellent written and verbal communication skills, with experience taking meeting minutes effectively and following up on actions
- Comfortable working with numerical data (e.g., lease dates, financial transactions, rent schedules)
- Ability to learn and champion new software packages and tools
- Experience of creating trackers and managing data using spreadsheets and/or digital platforms
- Proven experience in proactively creating, maintaining and promoting a strong network of connections with internal and external stakeholders.
- Substantial experience of building and maintaining a network of colleagues and contacts to achieve progress on objectives and shared interests
- A strong track record of achievement and providing successful solutions.
- Basic project management knowledge or PMO support experience
- Ability and willingness to travel to other locations as required for the role
- Willingness to adapt and improve systems and processes
- Ability to work independently and as part of a team
- Commitment to confidentiality, professionalism, and attention to detail
- Ability to successfully work in a hybrid environment
